Privacy Policy

Last updated: April 10, 2026

Probate Helper ("we," "us," or "our") operates the probatehelper.ai website and related services (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the Service, book a demo, or subscribe as a law firm customer.

Summary: We are a B2B SaaS platform used by estate attorneys. We collect the information needed to operate the Service, process payments, and deliver qualified probate leads. We do not sell personal data, and we apply attorney-grade security to the information we handle.

1. Information We Collect

Information you provide

  • Account and firm details — name, email, phone number, firm name, website, jurisdiction, and billing information when you sign up or request a demo.
  • Configuration data — practice areas, service territories, branding assets, and preferences you enter into the platform.
  • Communications — messages, support requests, and feedback you send to us.

Information collected automatically

  • Usage data — pages viewed, actions taken, device and browser information, IP address, and referral source.
  • Cookies and similar technologies — we use cookies and tags (including Google Tag Manager) to operate the Service, remember preferences, and measure site performance.

Information from public records and third parties

Our Service identifies probate opportunities by processing publicly available records (obituaries, court filings, registers of deeds, vital records, and property tax records) and by querying commercial data providers. This information is delivered to our law firm customers as qualified leads.

2. How We Use Information

  • Provide, operate, and maintain the Service and deliver qualified leads to subscribed law firms.
  • Generate court-ready documents and direct mail pieces under our customers' branding.
  • Process payments, manage subscriptions, and send transactional messages.
  • Improve the accuracy of our AI models and the quality of lead matching.
  • Communicate product updates, security notices, and (where permitted) marketing information.
  • Detect, investigate, and prevent fraud, abuse, or security incidents.
  • Comply with legal obligations and enforce our Terms of Service.

3. How We Share Information

We do not sell personal information. We share information only in these limited circumstances:

  • Law firm customers — leads and supporting data are delivered to the subscribing law firm that licenses the Service for its territory.
  • Service providers — infrastructure, analytics, payments (Stripe), email, print/mail fulfillment, and similar vendors acting on our behalf under contractual confidentiality obligations.
  • Legal and safety — when required by law, subpoena, or to protect the rights, property, or safety of Probate Helper, our customers, or others.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.

4. Data Security

We take security seriously. Sensitive data is encrypted in transit (TLS) and at rest, personally identifiable information is encrypted at the field level, and role-based access controls restrict who inside our organization can view customer data. While no system is perfectly secure, we continuously review our controls and respond promptly to any security concerns.

5. Data Retention

We retain account and transactional information for as long as your account is active and for a reasonable period thereafter to comply with legal, tax, and audit requirements. Lead and case data is retained according to the terms of your subscription agreement.

6. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or port the personal information we hold about you, and to object to or restrict certain processing. To exercise these rights, email us at privacy@probatehelper.ai. We will respond within the timeframe required by applicable law.

California residents (CCPA/CPRA)

California residents have the right to know what personal information we collect, to request deletion, to correct inaccurate information, and to opt out of the "sale" or "sharing" of personal information. We do not sell personal information.

7. Cookies and Tracking

We use cookies to keep you signed in, remember your preferences, and measure how visitors use the site. You can control cookies through your browser settings. Disabling cookies may limit functionality.

8. Children's Privacy

The Service is intended for use by legal professionals and is not directed to children under 16. We do not knowingly collect personal information from children.

9. International Users

Probate Helper is operated from the United States. If you access the Service from outside the U.S., you consent to the transfer and processing of your information in the United States under U.S. law.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by posting the revised policy on this page and updating the "Last updated" date. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
